The Broadcast Operations & Engineering Coordinator works independently to perform a wide variety of specialized office and administrative tasks in support of business functions within the TVG Broadcast Operations and Engineering Department. This role involves extensive communication with internal and external contacts regarding employee scheduling, contracts and purchase orders.
ESSENTIAL FUNCTIONS
• Creates and distributes TVG Network's monthly operational staffing schedules based on required qualifications, changing programming needs, and employee availability. Tracks program scheduling changes and updates schedule as necessary.
• Reviews with manager and approves timecards for hourly employees on a weekly basis; obtains any OT approvals by/with manager.
• Assists managers with creation of vendor contracts; interfaces with legal department as needed.
• Reconciles invoices with manager to confirm correct charges.
• Inputs purchase requisitions for Operations and Engineering managers.
• Interacts with Accounting and vendors to generate Purchase Orders.
• Tracks all Purchase Orders; ensuring items received are entered into purchasing system in a timely manner.
• Builds and maintains comprehensive departmental spreadsheets for tracking and budget purposes.
• Assists production department with the creation of Technical Request Form for additional productions in studio, VO booth, remote production needs, etc.
• Books travel for operations crew members.
• Assists Manager of Field Technical Operation - coordinates picking up rented gear & returning it, transportation for crews when needed, crew call and time keeping.
• Enters and tracks expenses via Concur for meals, equipment, and other items as requested.
• Assists manager with generation and processing of various Human Resources forms.
• Maintains technical skills.
QUALIFICATIONS
• Hands-on and/or working knowledge of processes identified above
• Advanced computer skills to perform word processing (MS Word), create elaborate (MS Power Point) presentations, maintain and create spreadsheets (MS Excel), and other company specific software applications.
• Superior organizational skills and the ability to multitask
• Excellent verbal and written communication skills
• Strong leadership skills
• Ability to work well in a LIVE broadcast environment with talent, producers and directors, under strict time deadlines
• Willingness and ability to work varied schedules and to work overtime, weekends and/or holidays
• Availability to answer and resolve sick calls from employees 24/7
REQUIRED EXPERIENCE/EDUCATION
• 3-5 years of broadcast operations administrative experience or similar with a local TV station, network, sports cable/satellite channel or other industry-related activities
• Minimum of a High School Diploma or GED; strongly prefer AA degree in related field
• In lieu of AA degree, must possess 5 years' administrative experience
