Associate Production Coordinator - TV Commercials

We are looking for a candidate with strong administrative and communication skills, a passion for the health and wellness industry, ability to manage projects and maintain a high level of organization and support the EVP of Product Development within our product development function and infomercial production.
You're Right For This Job If You Can:
-Serve as a liaison between the company and outside production companies, correspond directly with producers, directors and production managers to fulfill practical day to day production needs while maintaining budgets and schedules across all stages of Product Development and Infomercial Production
-Coordinate shoot schedules and cast/crew travel. Work with corporate travel to coordinate all flight and hotel accommodations for cast and crew on location
-Obtain permits, insurance certificates, and all required contracts, releases, clearances, and trade-out agreements
-Development/distribution of schedules, calendars, and bi-weekly status updates
-Coordination of all wrap files, assets and network deliverables
-Schedule castings, secure locations, hire hair, makeup, stylist, wardrobe
Corporate:
-Maintain regular contact with other departments of the company including corporate in-house production, accounts payable, as well as vendors outside of the company
-Work with corporate office to generate/process independent contractor agreements
-Serve as the gatekeeper of company policy to ensure outside producers/vendors follow the requirements of the Company
-Administrative and Office Management:
-Assist with office duties including photocopies, building and maintaining production binders, maintaining templates and other projects as assigned
-Review, select and organize before and after images
-Prepare and file paperwork, process contracts, order equipment and answer phones
-Petty cash and credit card reconciliations and complete monthly expense reports for EVP
-Lunch Runs and other Miscellaneous errands as needed
Skills and Experience:
-2-4 years of experience managing projects with administrative responsibility
-BA degree preferred
-Proven ability to carry out a variety of clerical/administrative functions within an entertainment/production or similar environment
-Working knowledge of Microsoft Office including Word, Power Point and Excel
-Proficient organizational and project management skills
-Highly resourceful, with an ability to handle a multitude of tasks simultaneously in a fast paced environment
