High Level Overview
The Executive Assistant role is very much the heart of BMG US. You would be supporting the President of the company as well as the EVP, Frontline Publishing. There is the typical stuff that happens including managing phone calls and calendars, organizing travel plans, and submitting expense reports….but this job is much more than that. You would be exposed to all facets of the business and responsible for providing support at the highest level in our company. We are looking for someone who is not only hungry to work in the music industry, but someone who is intensely interested in learning and growing as much as possible in the industry through supporting two senior level executives. This job is not for the timid, you would be dealing with a wide range of personalities - but it is an amazing opportunity to have exposure to all facets of the music business.
Who We Are Looking For
You are accurate, well-organized, precise and 100% reliable. You have an eye on the big picture but you can handle little details as well. You build rapport with others quickly and develop relationships easily. You can handle difficult people without letting it get to you.
Your success in the role depends on having a strong, outgoing personality and the desire to do whatever it takes to get the job done. Your self-confidence enables you to jump in as necessary even when things don't go as planned.
Essential Duties
Liaise with various executives, managers, producers, artists, writers, etc.
Organize and execute large scale and high profile events.
Expertly manage the day-to-day happenings of two senior executives.
Greet visitors, screen incoming calls, schedule appointments.
and showcases, maintain calendars, and play an active role in organizing and prioritizing initiatives and events.
Make all travel arrangements for supervisors in accordance with company policies and follow up to confirm arrangements.
Prepare business expense (T&E) reports and ensure that all receipts are submitted on a timely basis.
Coordinate guest lists and ticket buys for upcoming shows and festivals.
Provide support in reviewing and processing invoices for accuracy and timeliness.
Non-Essential Duties
Other duties as requested or assigned.
Desired Skills and Experience
Bachelor's degree required.
Knowledge of and exposure to music industry.
Awareness of current trends and power players in the music industry.
2+ years of prior experience as an Executive Assistant.
Intermediate proficiency with Word, Excel, and PowerPoint.
Excellent communication skills.
Photoshop and design experience a plus but not required.
Travel: Minimal
