Overview and Responsibilities
The Executive Administrative Assistant will report directly to the Chairman, CEO of BET Network for this New York based role.
Reporting directly to the Chairman and CEO, the Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Chairman, CEO. As a representative of the Chairman, CEO, impeccable interpersonal skills representing a poised, polished, and professional attitude is essential. The Executive Assistant also serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The ideal candidate will have the ability to exercise good judgment in a variety of situations demonstrating consistent strong verbal and written communication; effective administrative and organizational skills; and the ability to maintain a realistic balance among multiple priorities. The successful candidate will be a self-starter who is able to prioritize effectively for him/herself and the Chairman, CEO and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
Oversee a broad variety of administrative tasks for the Chairman, CEO. Successfully complete deliverables with a hands-on approach, including drafting letters, correspondence, and other responsibilities:
• Planning and calendar management including coordination of complex meetings with multiple executives and locations
• Plan, coordinate and ensure the Chairman, CEO's schedule is followed
• Work closely and effectively with the CEO to keep well informed of upcoming commitments
• Provide a bridge for smooth communication between the Chairman , CEO’s office and internal departments
• Managing of meeting logistics, conference rooms, AV equipment
• Assists in coordinating the agenda of senior management team meetings and off-sites
• Provide effective and expeditious meeting coordination including agendas, notes, action items; following up on action items on behalf of the executive, as appropriate
• Screen and respond to phone calls and email as appropriate. Handle incoming/outgoing packages & mail
• Arrange complex and detailed travel plans, itineraries; make travel arrangements expeditiously and accurately
• Partner and network with other company administrative assistants in order to collaborate, obtain information, get things done and solve problems
• Prepare and track purchase orders and expense reports. Order of equipment and supplies as needed
• Handle special projects as they arise, and plan and execute projects and events as needed.
• Prioritizes needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion
• Responsible for activities relating to charitable sponsorships - inputting invoices and tracking payments for annual sponsored charitable events
• Run occasional personal errands and take on additional duties and projects as needed
Basic Qualifications
• At least 5-7 years of administrative support with proven success supporting senior level executives and/or a senior executive team. Prefer experience assisting C-level executives
Additional Qualifications
• Bachelor’s degree preferred
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Expert level verbal and written communication skills
• Very strong interpersonal skills and the ability to build relationships with stakeholders, internal staff, external constitutes, and company members
• Demonstrated ability to effectively and professionally interface with high level executives, clients, business associates, and employees
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Proven ability to handle confidential information with discretion
• Demonstrate the highest level of customer service and response
• Demonstrated ability to meet deadlines in a fast-paced environment with excellent attention to detail and follow-through skills
• Holds highest ethical and moral standards
• Punctuality is a must
• Thrives in a fast-paced work environment, readily adapting to continually changing priorities & deadlines
• Excellent Microsoft Office – Microsoft Word, Outlook, PowerPoint, Excel, and Adobe Acrobat Pro. Mac knowledge
