EXECUTIVE ASSISTANT to the COO - Full Time Position
Seeking a smart, motivated and very hard-working EA to the COO of a high profile Production Company. Ideal candidates are enthusiastic and professional; team-players and self-starters; and masters of prioritizing and multitasking. Knowledge of production and television is essential. Must be a problem solver with a ''can do'' attitude. Ideally 1-2 years' experience working for senior level executive or equivalent.
Experience
- Skilled with Outlook, Excel, Word and PowerPoint
- Experience handling a senior level executive's calendar and schedule
- Willingness and stamina to work long unpredictable hours
- Organized, team player with a can-do attitude
Enthusiastic, and a fast learner
Ideally 1-2 years' experience working for senior level executive or equivalent
Daily Job Duties
- Heavy Scheduling
- Thoroughness, attention to detail and superior problem-solving skills are vital to the position
- Prepping for daily work materials/meetings
- Reading, monitoring and responding to emails.
- Heavy Phones - answering calls and handling queries
- Rolling Phone Calls, taking detailed notes, defining action items and ensuring they are attended to
- Preparing and typing correspondences and documents
- Reconcile expenses
- Book and manage travel: communication with hotel personnel, airport greeters, drivers.
- Preparing presentations & materials for meetings
- Managing, reviewing, filing and personal organization of paperwork
- Maintain organization and cleanliness office space
- Manage various projects from beginning to end, inclusive of booking amenities for clients, travel, creatives, and seeing each item through all the way to the end.
