Position Overview
The ''Executive Assistant Partnerships'' role is a newly created position within ASP based in its recently opened office in New York City. The vision for this role is primarily to provide administrative support to the Chief Commercial Officer (CCO) and secondarily to other members of the New York partnerships team. Specifically, this person will be responsible for all administrative functions needed to ensure the smooth operation of overall department and the New York office itself. This executive assistant will also liaise with ASP's other offices around the world, particularly Santa Monica, CA. Local candidates only. No relocation assistance.
Scope of Responsibilities
• Administrative Support: Duties include meeting scheduling, calendar organization, travel planning, phone answering, event planning, HR and other duties as assigned by the CCO.
• Communications: First point of contact for all callers and visitors to the office. Writing letters, preparing proposals, responding to requests and effectively communicating with internal and external constituents.
• Departmental Budget Tracking and Reporting, Expense Management: Filing timely expense reports for CCO and maintaining monthly departmental budgets as requested/required by ASP Finance. Ensuring that all reports are accurate.
• Status Reports: Ensure timely and accurate submission of weekly status reports from direct reports to the CCO. Write weekly department status report for CCO to edit and submit to ownership.
• CRM: Management of departmental Customer Relationship Management system to ensure it is maintained and that all team members around the world are in compliance with their submissions.
• Office Management: Ensure smooth operation of the office environment from ordering of supplies, interfacing with building management/security, and third party vendors.
• Intern Program: Administer the department's intern program to ensure the proper recruitment, on-boarding and programming for interns.
• Inter-Office Coordination: Coordinate activities between offices (i.e. other executive travel when they come to NY) and support departmental team members in other offices.
• ASP and Department Brand Development: Ensure that all interactions with the department are designed to expand and enhance the brand of the ASP by reinforcing the core positioning of the organization and department.
Ideal Candidate Profile
• Relevant Experience: Minimum 2 years of demonstrated administrative experience excelling at the kind of tasks described above.
• A People Person: Someone who brightens up the day of those they interact with and enjoys working with people from around the globe.
• Communication Skills: Excellent communication skills, both verbal and written, with the demonstrated ability to persuade through both.
• Computer Literacy: Individual must be fluent in use of MS Office (PPT, Word, Excel) and/or Apple Keynote and familiar with Google Docs.
• Organization and Attention to Detail: A highly organized, detail oriented individual with the ability to follow through on commitments made, internally and externally.
• Intellectual Curiosity and Problem Solver: Person needs to be resourceful and creative. Have an ability to do more with less and take initiative.
• Passion for the Sport/Lifestyle of Surf: A passion for the sport and lifestyle of surfing is a plus, however, at a minimum the candidate must be conversant in the genre and willing to immerse themselves in to it.
• Mastery of the English language is mandatory: Additional language skills a plus, particularly Spanish/Portuguese.
