We are seeking an Events Manager to join our small, tight-knit team. APJ events are a core component of our fundraising strategy and a crucial source of income that allows us to support our programmatic partners. Each year we hold up to 4 major fundraising events in different markets (LA, NY, Toronto, and London) and a number of smaller events (domestic and international) in between these touchstones. In the role of Events Manager you will be the point person overseeing the day-to-day production of all APJ events from pre-production through wrap up and everything in between.
The ideal candidate will have substantial prior experience in events and production. They must have a true passion for creating meaningful, beautifully executed events and take great pride in doing the very best for the very least; APJ produces extremely high end events at low costs in order to maximize return for those in need. He or she must have superior organizational skills, strong internal motivation, an eagerness for problem solving, the ability to work gracefully under pressure, a high tolerance for stress, and the resources to call upon in order to get things done effectively and efficiently.
The responsibilities of the Events Manager will include:
• Seeing events come to fruition and managing the entire events process as a representative of the APJ team from A to Z
• Attending all APJ events and personally overseeing their successful execution
• Communicating with our team via regular progress reports and meetings as well as delegating responsibilities to other team members as necessary
• Preparing and maintaining event workplans, budgets, and income sheets
• Working in conjunction with our team to create realistic and executable sales strategies to maximize revenue and ensure financial viability of events
• Processing and tracking of ticket sales, auction sales, and other revenue
• Assisting the financial manager in collecting receivables and tracking buyer information before, during, and after events
• Hiring and managing third party events producers and vendors as required to ensure compliance with the workplan, budget, and overall event goals
• Booking team travel and handling all event-related logistics
• Conducting all event-related guest relations and communications
All candidates should have:
• 2+ years experience in a role with similar requirements or substantial experience in a position within the events industry
• Meticulous attention to detail and superior organizational skills
• Excellent taste and a clear vision of what constitutes a successful event
• High tolerance for the unique kind of stress associated with event production; an ideal candidate will thrive on the adrenaline that accompanies a high-stakes event
• The ability to prioritize and manage many complex and fast-moving projects
• Superior written and verbal communication skills
• Comfort working with the Mac OS along with a functional knowledge of Microsoft Office applications
