The Administrative Assistant will provide executive administrative support to the Co-President & Managing Director(s) and other management staff within the Art + Commerce division. The Managers Assistant will be able to demonstrate the ability to thrive in a fast-paced environment and must possess a high level of energy, discretion, flexibility and good judgment. Applicants must be organized and well-spoken with strong written and verbal communication skills. Applicants should be self-motivated, proactive, team players with excellent multi-tasking skills. A minimum of one year in client service experience is required for this position.
Essential Functions:
• Provide administrative and project support to Co-Presidents & Managing Directors. Tasks include but not limited to screenings calls and disseminating messages, organize/maintain files, coordinate travel arrangement, coordinate meetings, appointments and take minutes, track and update monthly incoming projects, handle personal errands, etc.
• Routinely interact with agents, photographers, agencies and vendors to support daily operations and artist relations with a level of professionalism and discretion.
• Manage and follow up on client requests and artist communications. Liaison with internal departments regarding preparation of decks, images and corresponding files for presentations.
• Prepare and process billing, invoicing and expense reports as assigned.
• Manage rolodex, group mailing lists and usage library.
• Participate in special projects as assigned.
Minimum Qualifications
• Bachelor's degree with a strong passion and interest in learning contemporary photography, art, fashion and publishing industry.
• Previous experience supporting executives and ability to interact with clients, talent and agent in a professional and concise manner.
• Basic understanding of billing, invoicing and expense management with excellent follow up skills.
• Minimum of one year of professional working experience in a related field.
• Sophisticated phone manner; highly developed written and verbal communication skills.
• Team player, consistently proactive and the ability to multi-task on numerous projects and deliverables with a sense of urgency and confidentiality.
• Detail orientation; well organized with strong problem solving abilities.
• Ability to work productively under pressure.
• Proficiency in MS Office; knowledge of web based applications and MAC platform highly preferred.
