Specific responsibilities include:
• Handle all day to day activities requiring interaction with both internal and external staff and vendors
• Approve household invoices and reconcile discrepancies
• Work with the office assistants to coordinate the family's calendars, travel and school activities
• Coordinate all the kids extracurricular activities
• Work with the household staff and security to make sure the kids are where they need to be and that the house remains tidy
• Help manage the contact database
• Run errands
• Buy gifts and order flowers
• Assist with events and parties
• Prepare annual holiday cards
• Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
• Sort mail and process invoices
• Various other tasks as needed
Background Requirements:
The ideal candidate should have a BA/BS degree and must be a confident communicator with a high degree of maturity, discretion and presence. Candidate must have at least 5+ years as a personal assistant with a strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook. Familiarity with a MAC is also important.
Personal Characteristics:
Selected candidate needs to be extremely detail oriented and able to work independently with little or no supervision. Must be extremely organized and able to respond expeditiously to diverse assignments and take responsibility for projects from beginning to end. Consistently operate with a sense of urgency while not losing sight of the details.
Unflappable loyalty, strong sense of commitment, and able to manage highly sensitive/ confidential information with total with unwavering discretion.
