POSITION: DEPARTMENT: LOCATION:
Office Manager, Admissions AFI Conservatory Los Angeles Campus
PRINCIPAL RESPONSIBILITIES:
The Office Manager, Admissions is responsible for the day-to-day operations of the Admissions office for the AFI Conservatory; coordinates all matters related to the admissions process from point of inquiry through enrollment.
PRINCIPAL DUTIES:
• Identify, develop and implement projects designed to maintain and improve efficiency and productivity of the Admissions Department, including creating strategies on ways to streamline the admissions process and facilitating information sharing between Admissions and other areas of the AFI Conservatory.
• Oversee intake and processing of applications.
•Train, manage and assist the Admissions Coordinator and temporary staff with receipt and processing of all applications. Create, edit and update the Admissions Processor manual, as necessary, to ensure the processors maintain a uniform method of process, including creating and updating all templates for correspondence with applicant regarding materials, interviews, etc.
• Update, edit and create online application and text. Reformat application to adhere to online standards, collaborate with the IT team and the Director of Assessment to ensure accurate and targeted information/data capture.
• Manage data capture funnel for the Director of Assessment and Vice Dean of Academic Affairs.
• Assist the AFIC Administration and faculty with organizing the annual selection process by orchestrating the review and interview of candidates, as well as counseling and notification of accepted candidates.
• As directed, prepare and coordinate disbursement of notification letters.
• Collaborate with the Fellow Affairs office in the communication to confirmed Fellows. • Collaborate with the Bursar in preparation of deposits and communication with
confirmed Fellows. • Manage the Empower software and maintains system updates. Problem solves as
needed. • Oversee information phone line and e-mail for AFI Conservatory and provide an
information center for AFI Conservatory both for internal and external inquiries. • Provide detailed and accurate information on accepted candidates to the Registrar's
office in a timely manner. • Maintain a detailed knowledge of all AFI Conservatory program specifics and
application enrollment.
• Create and track all invoices for the Admissions department. • Perform other duties and responsibilities as assigned.
EXPERIENCE/SKILLS REQUIRED:
• Bachelor's degree required. • Minimum five years experience in Admissions or progressive work experience in an
Admissions office or an academic office as an office manager. • Excellent management, organizational and interpersonal skills. • Excellent oral and written communications skills, including strong grammatical and
proofreading abilities. • Ability to establish and maintain rapport with prospective applicants, Fellows, faculty
and staff in the academic and professional environment. • Strong self-motivation and self-initiative; ability to take direction as well as work
independently on multiple projects. • Proven ability to handle numerous details, with appropriate follow-up and reporting
activities. • Excellent computer skills, with strong knowledge in Word, Excel, PowerPoint and
FilemakerPro. • Working knowledge of social media and building brand awareness. • Capacity to thrive in the exciting, ambitious, future-oriented environment of a world-
class institution and to respond effectively to changing needs and priorities. • Ability to maintain confidentiality. • Personal integrity and the ability to inspire confidence and trust. • Ability to work calmly under pressure. • Must demonstrate a friendly and cooperative attitude with internal and external
contacts. • Must be able work some evenings and weekends; some travel required.
