JOB DESCRIPTION
POSITION: Coordinator
DEPARTMENT: Infrastructure
LOCATION: Los Angeles Campus
PRINCIPAL RESPONSIBLITIES:
The Coordinator, Infrastructure is responsible for providing administrative and organizational support for the Infrastructure team, including basic troubleshooting, support ticket trafficking and follow up and request processing. In addition, the position will collaborate with the Vice President, Infrastructure on special projects.
PRINCIPAL DUTIES:
• Provide administrative support to the Vice President, Infrastructure and the IT and Plant Operations teams.
• Review and prepare vendor invoices and process purchase orders and expense reports.
• Track departmental expenses and provide monthly budget reports to the Vice President, Infrastructure to ensure budget compliance.
• Coordinate the Vice President, Infrastructure's calendar, ensuring meetings and events are scheduled, notated and appointments confirmed.
• Coordinate the flow of communications and materials emanating from the Office of the Vice President, Infrastructure, including answering phones, distribution of materials and approvals.
• Manage special projects and events as assigned by the Vice President, Infrastructure.
• Answer the IT Help Desk and ensure all calls, trouble tickets and requests are entered into the Help Desk tracking system and are completed in a timely manner and in compliance with AFI's IT policies and procedures.
• Prioritize and assign support tasks to IT Technicians as appropriate.
• Act as the lead contact for AFI's phone system, which includes configuration, troubleshooting and all internal changes (e.g. additions and relocations).
• Provide basic end-user support via phone or hands-on to staff, faculty and Fellows.
• Schedule and coordinate outside support technicians and service providers as needed.
• Update and maintain all AFI e-mail user directories including Fellows e-mail lists and staff changes.
• Oversee the ordering of all hardware and software needs of the Institute.
• Create and maintain an inventory database of all AFI hardware and software assets.
• Provide IT support to AFI events including, but not limited to, AFI FEST, AFI Life Achievement Award and AFI Awards.
• Collaborate with the Human Resources team to facilitate IT and operations requests for AFI staff.
• Provide training to new hires related to AFI's IT systems and policies.
• Perform other duties and responsibilities as assigned.
EXPERIENCE/SKILLS REQUIRED:
• Bachelor's degree preferred.
• Highly developed customer service skills with the ability to establish and maintain rapport with internal and external contacts.
• Minimum three years administrative support, planning and/or project coordination experience.
• Ability to learn and retain multi-phased tasks and technologies.
• Exceptionally detail-oriented with the proven ability to handle numerous tasks with appropriate follow-up and reporting activities while not losing sight of the big picture.
• Can work independently while being an integral member of a high-functioning team.
• Proven project management skills with the ability to take a project from conception through completion with minimal supervision.
• Excellent oral and written communication skills with the ability to convey complex concepts and procedures in simplistic terms.
• Strong time management, organizational and multi-tasking skills coupled with the ability to work independently and with minimal supervision.
• Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion at all times.
• Proven experience and facility with Apple O/S functions, MS Office and various Web Applications and messaging.
• Possess a positive and professional attitude with the ability to work as a member of a high-energy, results oriented team.
• Personal integrity with the ability to inspire confidence and trust.
• Demonstrated knowledge and experience in the film and television community is desired.
