JOB DESCRIPTION
POSITION: Production Coordinator, Thesis Production DEPARTMENT: Thesis Production, AFI Conservatory LOCATION: Los Angeles Campus
PRINCIPAL RESPONSIBILITIES: The Production Coordinator, Thesis Production is responsible for supervising the day-to-day production activities, in addition to assisting the Thesis Production team and Fellows with the preparation of thesis productions for post-production and delivery.
PRINCIPAL DUTIES:
• Oversee production activities for each AFI thesis production.
• Assist the Associate Dean, Thesis Production and Post Production to ensure staff, faculty, mentors and Fellows adhere to the Thesis Workflow guidelines and recommendations.
• Attend the five-week Format meetings and the two-week Production meetings.
• Verify accuracy and completion of employment information, including driver qualification documentation, work permits and safety passports.
• In collaboration with the Thesis Production team, assist in updating and maintaining the Thesis Production schedule and calendar.
• Assist Fellows and thesis production mentors in preparing all aspects of thesis development, pre-production and production as outlined in the Thesis Workflow.
• Act as the Liaison between Fellows and Human Resources to facilitate accurate reporting of Worker Compensation claims.
• Meet with the Fellows on a regular basis to facilitate preparation for and documentation
of second year thesis productions.
• Act as the liaison to AFI insurance broker regarding production insurance matters and claims.
• Act as the liaison to SAG-AFTRA and DGA.
• Review call sheets, SAG-AFTRA Exhibit G and production reports on a daily basis to ensure accuracy.
• Assist Fellows with cost reports and preparation of delivery documents.
• Assist the Manager, Thesis Finance with Budget Locks as needed.
• Attend Thesis Mentor meetings when requested.
• Collaborate with the Associate Dean, Thesis Production and Post Production to generate statistical analysis of production, including average set-ups and first shot times and thesis production staff and faculty work hours, etc.
• Research and test software and products to keep abreast of advances in production technology.
• Perform other duties and responsibilities as assigned.
EXPERIENCE/SKILLS REQUIRED:
• Bachelor's degree required.
• Minimum three years motion picture and/or television production experience.
• Minimum two years supervisory and management experience, including use of deal memos.
• Minimum two years experience running a production office and working on set as a production liaison.
• Thorough knowledge of all aspects of set and production office procedures, including working knowledge of SAG-AFTRA, DGA and other Union agreements.
• Familiarity with a wider variety of production forms.
• Knowledge of rules and regulations pertaining to the employment of minors.
• Experience overseeing general set and office safety protocols.
• Exceptionally detail-oriented with the proven ability to handle numerous tasks with the appropriate follow-up and reporting activities.
• Can work independently while being an integral member of a high-functioning team.
• Proven project management skills with the ability to take a project from conception through completion with minimal supervision.
• Excellent oral and written communication skills with the ability to convey complex concepts and procedures in simplistic terms.
• Strong time management, organizational and multi-tasking skills coupled with the ability to work independently and with minimal supervision.
• Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion at all times.
• Excellent Internet and computer skills with strong knowledge in Microsoft Word and Excel, Filemaker Pro, Meeting Maker and other production office software and databases.
• Possess a positive and professional attitude with the ability to work as a member of a high-energy, results oriented team.
• Personal integrity with the ability to inspire confidence and trust.
• Working knowledge of Movie Magic Budgeting, Movie Magic Scheduling and Showbiz SAG-AFTRA Time Cards software.
