Work hard, have fun and make history with Amazon's legal team. We are looking for a smart and motivated individual to provide administrative and docketing assistance to our Intellectual Property group. Responsibilities include copyright registration, coordinating the execution of agreements, tracking documents, maintaining status reports, word processing, performing general office tasks, and coordinating other legal and administrative matters with the business groups.
The successful candidate will be able to work efficiently and independently; manage high volumes of work with little guidance; react with appropriate urgency to situations and events that require a quick response or turnaround; take effective action without knowing the total picture; and think creatively and be proactive in solving problems that affect colleagues and/or clients. The candidate will also be client-service oriented, pay attention to detail while meeting tight deadlines, have great organizational skills, and be able to shift gears easily. Professionalism, integrity, discretion in handling confidential information, and the ability to work well with people at all levels inside and outside the company, are essential.
Core tasks:
Docket and calendar due dates of U.S. Patent and Trademark Office actions and responses due to foreign associates;
Review, process and route incoming correspondence and other documents;
Assist with registering works with the U.S. Copyright Office;
Review dockets daily and verify completion of assignments by due dates;
Assist with creation, collection, and organization of files;
Assist IP Group with administrative tasks including faxes, mail, couriers, scheduling meetings and calls, arranging travel, processing expense reports,etc.;
Creating matters in docketing and financial systems; Assist with data correction and data auditing in the docketing system;
Assist with budget management and gathering metric information;
Coordinate billing efforts;
Coordinate getting documents executed, legalized and notarized; Internal calendaring of when search results are due to the business; Conduct and participate in training as necessary; and
Review and update Business Process Guidelines to reflect current group practices, with a critical eye to assess what we are doing well and how we can improve.
BASIC QUALIFICATIONS
• High school diploma plus 2 years or more of related experience or equivalent combination of post-high school education and experience; and
• Proficiency with the Microsoft Office Suite
PREFERRED QUALIFICATIONS
• Legal administrative experience is a plus.
• Strong written and oral communication skills are a must, as is the desire and aptitude for learning new concepts on the job;
• Bachelor's degree preferred;
• Entertainment Industry experience a plus.
