Full Time Job
Seeking an established Assistant to manage many of the personal and professional needs of the EVP of Operations. This is not a ''creative position'' however there is potential for growth into an operational role within the various departments under the EVP of Operations.
Essential Duties & Responsibilities (includes not limited to):
• Handles heavy phones, rolling calls, and phone sheet for EVP
• Manages EVP's Business Binder, constantly updating and following up for needed materials from different departments
• Prepares all necessary paperwork and research for EVP's meetings, both internal and external
• Coordinates heavy travel for the EVP, other Executives, Board Members, other business associates, and high-level candidates
• Organizes and negotiates team retreats
• Handles various personal duties of the EVP, including bills, mailings, and daily lunch order
• Reconciles EVP business expenses reports and receipts
• Creates presentation, org charts, and coordinates distribution for meetings- must have advanced PPT experience
• Works on high level special projects for the EVP and other executives, and may direct and lead the work of others. A wide degree of creativity and latitude is expected.
• Works closely with HR, Office Services, and IT to coordinate needs of the EVP and overall office
• Relies on experience and judgment to plan and accomplish goals.
Job Requirements:
• MUST have 2 + years experience working as a high C-Level assistant or similar position in a corporate environment. Entertainment a plus.
• Must possess advanced PowerPoint skills, have experience creating corporate and board presentations and organization charts.
• Must have advanced Word, and Excel skills, as well as experience with Outlook and Adobe Acrobat
• Candidate must possess excellent phone and people skills, anticipate needs and stay on top of a myriad of projects and details with constant follow up abilities.
• Candidate must be calm, extremely organized, meticulous, resourceful, motivated and dedicated.
• Seeking an established assistant prepared to provide incomparable support to the executive office, and willing to commit a minimum of a year to the role.
