Coordinator, Ad Sales Partnerships (Temporary)
POSITION SUMMARY
The PA manages the flow of information between internal teams and departments to ensure timely delivery of on-air added values to the account teams. From script stage to final client approval and traffic delivery, they will ensure accurate and timely delivery while complying with established specifications, processes and provides assistance to facilitate the client's on-air partnerships. The PA performs QC on all spots and relay revisions as needed to internal production teams.
PRIMARY RESPONSIBILITIES
• Work with Account Executives, Managers, Sales Planners and Assistants to insure creative vision of spots are being achieved in a timely manner
• Coordinate with Sales Assistants to acquire all assets needed to start production: tagline, EPS logos, deal #'s, air dates, etc… Daily management of the production of partnerships elements (tagged tune-ins, brand bridges, content interstitials, etc.) And make sure all value added elements have been booked correctly in the sales System.
• Maintain production status reports for all internal teams. Fill out all production request forms to begin production, ensuring all information and timelines are correct.
• Liaise between multiple internal divisions (ad sales, integrated marketing, programming, production, graphics, & traffic) in order to retrieve requested information and to relay on-air specifics.
o Producers – ensure spots are produced accurately, timely deliveries of spots/ approvals, ensure revisions and approvals are communicated.
o Graphics – digitizing and prepping logos, work w/ graphics on placing logo bugs, QCing logos
o Broadcast Operations – in show elements are delivered accurately and on time for loading and airing.
o Traffic Specialists – ensuring all tapes and traffic instructions are correct and in Stamford with client approval and on time.
o Ad Sales Teams – assets and approvals from clients/ agencies are received on a timely manner. Maintain and communicate timelines for
• QC spots to make sure they are correct before sending out to client.
• Update all production status reports and provide updates on all projects during weekly team meetings. Monitoring on air inventory – work closely with On Air production manager to track changes in On Air priorities, disseminate weekly reports that indicate internal marketing priorities and strategy. Functions as key partnerships contact for Lifetime On Air Marketing
• Create a system to store and archive digital assets for future reference, and create comp reel for client or sales meetings as needed. Process orders through the media library system database and work directly with duplication vendors to insure the timely and accurate processing of all dub orders
Required Experience:
• Must be able to plan ahead and anticipate potential future problems.
• Basic Photoshop file conversion ability to manipulate PDF, JPGS and TIFF's, and FTP.
• Mid-level Final Cut Pro and/or AVID knowledge. Familiar with FTP sites
• Familiar with MS office applications, including mid-level excel and power point.
• Must be detail-oriented, able to communicate effectively to multiple internal teams, be proactive when dealing with all projects, ability to work in fast-paced environment, and to adapt to change with little or no negative impact to productivity.
Required Education:
• College graduate or equivalent.
