The Human Resources Assistant assists with the administration of the day-to-day operations and functions of the Human Resources department. The HR Assistant carries out responsibilities in the areas including but not limited to: HRIS, onboarding, offboarding, employee relations, benefits administration, executive administration, organizational development, and special projects.
Areas of responsibility/accountability:
• Handles and assists HR/Benefits administrative functions
• Prepares and maintains employee files
• Updates and maintains employee data in HRIS system
• Manages and tracks internal document process (salary change forms, approval to hire forms)
• Coordinates pre-employment communications and onboarding/orientation activities
• Collects new hire paperwork and verifies I-9 documentation
• Submits online investigation requests and assists with new employee background checks
• Creates, maintains and updates ASCAP organization charts
• Completes employee verification requests
• Submits HR/benefits bills for payment
• Manages Board of Director medical insurance billing
• Answers general HR phone line
• Assists with offboarding process including conducting exit interviews and processing of terminations
• Updates and maintains ASCAP group e-mail lists
• Creates and edits documents / Power Point presentations as necessary
• Creates reports as necessary
• Orders department supplies
• Oversees semi-monthly Payroll administration
• Submits semi-monthly payroll changes to Payroll department
• Conducts semi-monthly audits of various payroll/benefits changes
• Performs customer service functions by answering employee requests and questions
• Acts as HR point person to field questions and direct employees to appropriate resources
• Provide other general/administrative support to SVP, HR as necessary
• Special projects as necessary
Requirements:
• Bachelor's Degree in Human Resources or related field
• Previous HR/internship experience
• Excellent time management and organizational skills, including the ability to prioritize work effectively and multitask
• Excellent verbal and written communication skills
• Ability to maintain a high level of confidentiality at all times
• Ability to cultivate and build relationships, personable and approachable
• Excellent follow up skills
• Ability to work with all levels of employees including Senior Management and Board of Directors
• Advanced knowledge of Microsoft Office Suite including Word, Powerpoint, and Excel
