General Summary
The AIDS/LifeCycle Production Coordinator works with the rest of the Logistics and Event Production team to manage projects and tasks related to the production of the annual AIDS/LifeCycle event, including: site and route permitting, document production, budget tracking and billing, assisting with the ALC Supplies Warehouse, vendor relations, and insurance certificate tracking.
Essential Job Functions
Include the following. Other duties may be assigned.
EVENT PRODUCTION
Procures and processes permit applications for all route sites, jurisdictions, municipalities, and other government agencies to ensure proper permissions are received for the production of the annual ALC event
Liaises with route site contacts to ensure the successful implementation of plans at the Ride's multiple route sites
Orders services and products from vendors as directed
Tracks and processes payment requests; keeps and maintains entries into the ALC Logistics budget
Manages and tracks ALC insurance certificate needs as well as receiving vendor insurance certificates
Coordinates staff travel and meals, as well as pre- and post-event staff hotel rooming lists
Coordinates route vendors as assigned
Assists with Orientation Day, and Opening and Closing Ceremonies as directed
Manages collateral and volunteer activities to prepare for Orientation Day including registration packet building and other tasks
ADMINISTRATIVE
Creates contact lists; logs and maintains records sent and received such as jurisdiction and site documents, insurance certificates and vendor information
Manages all ALC logistics billing
Gathers and organizes documents for the production of the event's production binders
Knowledge, Skills, and Abilities
EDUCATION AND/OR EXPERIENCE
Bachelor's degree and at least one year of special event production experience; or two years special event production experience required. Two years progressive customer support experience preferred. Current CA Driver's License required.
OTHER SKILLS AND ABILITIES
Ability to manage multiple tasks simultaneously, exceptional attention to detail.
Ability to remain calm in a high-paced, stressful environment and maintain composure when dealing with crises or problem solving
Comfort with driving a 24' or smaller box or production truck
PHYSICAL DEMANDS
Skill in operating office equipment such as a personal computer, copy machine and telephone system. Ability to perform routine bending, stooping, twisting, and reaching. This position is required to attend the entire upload and download of AIDS/LifeCycle and the ALC event (a two week period), as well as several events throughout the year that require many hours of standing, lifting, walking, and carrying.

WORK ENVIRONMENT
This position is primarily located at 1035 Market Street; San Francisco, however may require traveling to other office locations or off-site meetings as required by the job.
