JOB SUMMARY:
The AIDS/LifeCycle (ALC) Production Manager is primarily responsible for strategizing and managing the
planning and execution of sites for the annual ALC Event, a massive operation with many moving parts. This position is responsible
for the development of site plans, managing site permitting and all site-related vendors to facilitate the Ride's services, and working
with volunteers to execute the set-up, operation, and strike of all of the Ride's campsites. Additionally, this position has some
management responsibilities overseeing site management and coordination of the Ride's Opening Ceremony and Finish Line
Festival. The position is based in Los Angeles and will work out of the Southern California ALC office in Hollywood. Travel to San
Francisco is required several times throughout the year and extensively in the months of April and May.
ESSENTIAL FUNCTIONS:
1) Participant services and Ride infrastructure vendor coordination and management for six campsites and 3000+ participants;
2) Campsite operational site planning, development and execution for the Ride's six different campsites, including vehicle
parking plans and relocation sites;
3) Campsite permitting and contracting by coordinating with jurisdictions and sites to secure appropriate permits and lock in
pricing. Also assists with route site permits as needed/assigned;
4) Coordinating service and infrastructure vendors for all route rest stop sites as assigned, which may include tents, porta-johns,
power, dumpsters, etc.;
5) Cultivating and maintaining relationships with in-kind event sponsors as assigned;
6) Working with Ride Director, Logistics Director, and external vendors to plan and execute the production of the Ride's
Opening Ceremony, Orientation Day, and Finish Line Festival;
7) Assisting with development of the annual event's Logistics budget, and managing those budget line items that pertain to the
responsibilities of the position to come in at or below budget;
8) Creating and managing complex multi-day event production timelines for sites;
9) Assisting and managing various aspects of regional pre-Ride events throughout the year;
10) Participating in staff meetings, ride production meetings, and other meetings as assigned;
11) Other duties as assigned;
JOB QUALIFICATIONS AND EXPERIENCE:
1) Five years of event management or related experience required;
2) Knowledge of large scale event production, ability to manage multiple projects simultaneously, knowledge and deep
understanding of budgets, experience working with volunteers and staff;
3) Position requires dedication and persistence in achieving goals and planning and executing the needs of the event, and will
require working beyond a standard 40-hour work week during peak production season;
4) Involves travel, working nights and weekends, camping outside, lifting, loading and setting up for events;
5) The AIDS/LifeCycle on-event production involves working long hours each day during the event for two weeks, up to 20
hours per day on event;
6) May be responsible for driving large trucks up to 24ft and have knowledge of forklifts, pallet jacks, lift gates and machinery;
7) Flexibility in realigning priorities related to the event as required by circumstance or situation;
8) Experience with fundraising including familiarity with constituent management systems, a plus;
9) Computer skills and knowledge including word processing, database operations, spreadsheets, and other software;
10) Excellent verbal and written communication skills, including strong organizational, detail and interpersonal skills;
11) Demonstrated project management skills, including facility in managing projects with multiple and often competing deadlines,
and ability to work under pressure;
12) Demonstrated ability to work effectively with men and women of diverse races, ethnicities, ages, and sexual orientations in a
multicultural environment;
13) A passion for the Center's work and its mission to make the world a better place for LGBT people
