AFM & SAG-AFTRA Intellectual Property Rights Distribution Fund (IPRDF) seeks a professional to join our Beneficiary Claims Department.
AFM & SAG-AFTRA IPRDF is a 501(c)(6) not-for-profit organization committed to the collection and distribution of equitable remuneration and the advancement of Performance Rights for musicians and vocalists domestically and internationally.
The Legal Administration Associate works under the supervision of the Beneficiary Claims Manager (BCM) and is responsible for assisting with all matters regarding deceased performer participants' beneficiaries (or their successors). This position is responsible for communicating with representatives of the decedent's estate and collecting the documentation required to assign beneficiaries and enter them in the Fund's database system in order to continue payment of royalties after the participant's death.
RESPONSIBLIITIES:
1. Perform internet-based research and update information in AS400 database in preparation for royalty distributions Maintain accuracy of database records by making corrections to beneficiary information as necessary. Notify Participant Services and/or the BCM of relevant corrections as needed
2. Prepare, update and maintain beneficiary spreadsheet and beneficiary files; review spreadsheet prior to distributions and assist with royalty distributions as needed
3. Prepare, update and maintain Beneficiary files
4. Under the guidance of the BCM, work closely with Operations, Participant Services, Applications & Software Development and Accounting departments to facilitate the distribution of royalties to beneficiaries of performer participants
5. Provide legal administrative support to the Director of Human Resources & Legal Affairs (DHRLA) by assisting with production of documents for subpoenas, IRS and state tax agency summons and other document requests
6. Verify Participants' social security numbers, Tax ID numbers, addresses, telephone numbers and email addresses using Lexis Advance Smartlinx, other People Locator services and the Social Security Administration and IRS database systems
7. Respond to written and telephone inquiries from individuals seeking guidance regarding the Fund's requirements for assigning beneficiaries; prepare correspondence, affidavits and assignment documents for review by the BCM
8. Gather and review documents received from estate representatives and attorneys (Wills, Trusts, Probate documents, Beneficiary Cards, Death Certificates, Marriage Certificates, Birth Certificates, Identification and other documents) to determine if they meet Fund criteria established to assign royalties to the performer participant's beneficiaries and successor
9. Monitor probate laws in all 50 states (and the District of Columbia) and advise Beneficiary Claims Manager and DHRLA of changes
10. Perform legal research and assist with special projects
EDUCATION: Bachelor's Degree in Arts, Science or Business Administration; Certified Paralegal preferred
EXPERIENCE:
2 years Paralegal or Legal Assistant experience
2 years customer service experience helpful
4 years Estate law paralegal experience preferred
KNOWLEDGE:
Familiarity with estate documents helpful
Knowledge of Lexis Nexis Smartlinx or familiarity using a similar system
General knowledge of AS400 database
Document production/File preparation
SKILLS:
Strong written and verbal communications skills; pleasant telephone manner
Accurate typing skills; proficient in Microsoft Office Suite (Word and Excel)
Excellent filing skills
Ability to navigate in web-based database environments
Candidate must have the ability to multi-task, identify and effectively prioritize work assignments in addition to handling changing priorities
Exemplary legal research skills
ABILITIES:
Ability to follow systems and procedures; respond to Management direction
High level of attention to detail
Must demonstrate a positive attitude and the ability to work collaboratively and cooperatively with internal and external contacts
