Position Summary
Position is responsible for providing administrative support for SVP, Human Resources, well as, specified members of the HR Leadership Team (HRLT). The position is also responsible for the coordination, planning and directing administrative workflows within the HR departments while also acting as liaison between the SVP, HR and members of the organization and senior management teams. The candidate will be highly-motivated, with a positive attitude and a commitment to excellence. Additionally, the candidate must possess the ability to multi-task, maintain confidentiality, coordinate work flow, and function well as a team player.
Position Responsibilities
• Demonstrates proficiency in preparing meeting materials such as PowerPoint presentations, meeting binders, agendas, minutes, making reservations, planning meetings and events including, scheduling travel arrangements, communicating essential information to participants, etc.
• Manages and maintains calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex meetings and travel
• Acts as a confidential assistant, preserving the confidentiality of information related to the organization and staff. Assists with confidential and/or sensitive matters; provides explanation and support where needed.
• Demonstrates poise and flexibility in a fast paced and dynamic environment. Able to prioritize and manage multiple projects simultaneously, and follows through on issues in a timely manner
• Uses good judgment in setting work priorities, planning and organizing workload in the midst of many interruptions. Demonstrates ability to work with deadlines and handles emergent situations calmly.
• Coordinates highly-sensitive materials
• Proactively manage day-to-day administrative activities for SVP and HRLT member including but not limited calendar management, scheduling meetings including setting up VC, Skype and conference calls in advance, phone coverage and communication of messages, meeting and event coordination including ordering meals and transportation, travel arrangement and oversite, tracking and reporting expenses, preparing copies and filing documents as required, ordering office supplies, greeting guests and employees
• Work closely with broader HR team members to ensure timely coordination and execution of HR workflow activities and special projects.
Qualification Requirements Experience & Capabilities:
• Minimum of 5 years of work experience with demonstrated ability to carry out administrative tasks proficiently, accurately and timely.

• Knowledge and competence with a personal computer to include multiple databases, Excel, Power Point, and Microsoft Office
