As a Group Assistant at 72andSunny, you'll exude positivity in your role as you support various teams. It is important that you thrive in a fast-paced, creative environment, and bring organization and attention to detail to the role. You'll be a part of an admin team that keeps the office in tip-top shape and humming like a well-tuned orchestra.
You'll be a chameleon in this role as your time will be split between supporting your team of directors, the full brand team when it comes to travel, and also, when the need arises, providing general office support.
Responsibilities
• Provide general administrative support to a team of directors at 72andSunny.
Priorities include:
• Providing scheduling support for the Group Directors (including GBD's, CD's, and SD's)
• Ensure meetings for your directors do not overlap and working with each team's brand coordinators or managers to help keep schedules aligned
• Completing and submitting expenses for all directors on your brand team(s)
• Booking travel for the full brand team(s) when traveling (beyond just directors) and knowing/adhering to 72andSunny or client travel guidelines.
• Act as a back up receptionist for the front desk role when reception is out. (i.e.: sick, PTO, appointments during the workday) Reception duties include:
• Greeting clients and guests, answering and filtering incoming and outgoing calls, administer mail as well as FedEx deliveries, courier requests, faxes and copies, and assisting to maintain all common areas, kitchens, and conference rooms • Offer support for general office duties including: ensuring supplies are stocked and the buildings are kept in order and presentable
• Act as a back up executive assistant for the partners when one of the EA's is out. (i.e.: sick, PTO, appointments during the work day)
• Assist admin team with special projects specified but not limited to: i.e.: running to Home Depot to pick up paint or hardware for a project, helping move desks before external events, etc
• Assist the office manager as needed
Knowledge & Skills
• Top notch organizational skills with the ability to prioritize and multitask without breaking a sweat
• Excellent phone skills and a positive, professional demeanor and dress attire
• Strong communication skills, both written and verbal ! • Excellent interpersonal skills + a positive attitude
• Sensitivity to confidentiality and the needs of individuals
• Must have strong work ethic and be a self-starter/go-getter
• Provide a strong understanding of follow up on all tasks and projects
