Summary
Looking for a proactive, solution-oriented self-starter to join a small talent tea overseeing all day-to-day communications, operations of Production Company, projects and personal affairs of CEO to keep operations moving and developing smoothly. The goal is to streamline communication, business and personal affairs, so the talent/CEO can focus on being creative and creating content.
Responsibilities
• Oversee and manage projects and initiatives to completion including but not limited to: active contracts, sourcing vendors, renovation projects, legal projects, trademark registrations
• Liaison with all company contractors & affiliates: attorneys, agency, accountants, contractors and vendors
• Track projects and maintain tasks lists and status reports
• Manage all vendor accounts, information, and payments
• Manage payment schedule, invoice accordingly
• Develop workflow and structure for day-to-day operations, communication, formal business procedures and paperwork
• Oversee hires: compose descriptions, scout & screen candidates
• Manage contractors & new employees: on-boarding, invoicing, payments and scheduling
• Consult on legal contracts and issues; liaise & communicate between all affiliates
• Oversee all accounting affairs, including monthly bill backs
• Work with affiliates and vendors to ensure all projects and requests are completed on schedule and on budget
• Record keeping and organization: saving all pertinent receipts, contracts, assets, documents (business and personal)
• Facilitate approvals and requests on behalf of CEO
• Support campaigns; liaise with 3BD's campaign manager for scheduling, expectations, deliverables, and deadlines
• Oversee all home projects with Interior Designer for oversight and financial tracking
• Executive Assistant duties: Manage calendar, scheduling, calls, meetings and appointments for CEO
• Oversee personal affairs and requests oversee and schedule Personal Assistant
• Assist in keeping CEO apprised of active campaign deadlines, requirements, upcoming calls, meetings or appointments.
Qualifications
• 3+ years entertainment industry experience required
• Email, Computer, Microsoft Office proficiency also required
• Knowledge of YouTube business is preferred
• Project management experience
• Office management and team management experience
• Ability to work with limited supervision; a self-starter with ability to anticipate issues and proactively problem-solve
• Excellent written, verbal, and interpersonal communication skills to assure successful interaction with all levels of clients and external contacts
• Demonstrated ability to effectively and professionally interface with high-level executives, clients, and business associates
• Able to make creative suggestions and solutions in the interest of the organization and operations
• Conflict management and critical thinking abilities
• Takes initiative to create solutions for better practices
• Proven experience in multi-tasking and working with multiple people and priorities
• Excellent attention to detail and follow-through skills
• Strong organizational and filing skills
• High School; College Diploma is plus
