1stAveMachine is a media production company based in DUMBO that partners with ad agencies and major brands to create visual, digital and experiential content, all with a unified singular vision: to tell stories to share. We are looking for an Office Manager with a solid background in office management, so that he/she will be comfortable jumping right in. The ideal person will be someone who takes initiative, is reliable, incredibly organized, and has a no-job-too-small attitude. They must be able to pay strong attention to detail, work in a fast-paced environment, multi-task, and manage budgets. An understanding of post-production is helpful but not required.
The Office Manager is responsible for maintaining the appearance, organization, upkeep, inventory stock, and cleanliness of the studio, in addition to coordinating client services and assisting with special projects as needed. The Office Manager will also fill in for the Receptionist as needed so previous administrative experience is also helpful.
Primary responsibilities include…
• Daily walk-throughs of the office to make sure everything looks clean, neat, and orderly.
• Managing two separate office-related budgets
• Inventory: reordering and restocking office snacks, supplies, toiletries, cleaning materials, etc. as necessary.
• Acting as primary contact with building management and all vendors related to facility and office upkeep.
• Knowing where all supplies and items are stored throughout the office
• Making sure printer area is stocked and working properly.
• Keeping track of all running accounts, company card, and allocating daily expenses and receipts to Accounting.
• Client services, which includes: making catering orders, organizing and setting up food/drink spreads, making coffee/snack runs as necessary, cleaning up work space after clients leave, etc.
• Planning all office-wide events such as birthdays, staff meals, parties, etc.
The ideal candidate…
• Is extremely organized and understands the importance of appearances - we uphold a high standard of cleanliness and neatness in our office and the Office Manger would be solely responsible for maintaining it… this will involve everything from making sure dirty dishes are cleared away in the dishwasher to making sure all surfaces are stain free, etc.
• An independent and creative problem solver with great follow-through
• An excellent communicator
• Has previous experience as Office Manager… not required but a big plus
• Is available to start immediately.
