Our boutique entertainment law firm nestled in the heart of Manhattan is seeking a proactive, organized, and communicative Administrative Assistant.
We're looking for someone who's not just an assistant but a crucial part of our team; someone who can seamlessly manage office support duties while also acting as the first point of contact for our clients. This role involves managing calls, directing clients, word processing, managing calendars, supporting email correspondence, filing, and faxing.
Mastery of software tools, internet research prowess, and exceptional communication skills are prerequisites for this role.
Key Responsibilities:
- Provide top-notch administrative support, driving efficiency across the board.
- Prepare and revise correspondence, agreements, and memos.
- Schedule meetings, manage communication, and respond to inquiries internally and externally.
- Welcome clients and foster effective communication between clients and attorneys.
- Handle incoming packages and mail, ensuring smooth office operations.
- Stock office supplies and manage inventory.
- Conduct thorough online and offline research projects.
- Arrange travel as necessarv, optimizing time and resources.
- Perform other tasks as assigned, adapting to evolving needs of attorneys.
Qualifications:
- Positive attitude with a business-savvy mindset, demonstrating flexibility and quick thinking.
- Exceptional problem-solving skills.
- Impeccable spelling and writing skills.
- Ability to thrive and deliver in a detail-oriented, fast-paced environment.
- Superior organizational, interpersonal and communication skills with an aptitude for multi-tasking.
- Proficiency in Microsoft Office Suite, Google Apps, and the Internet. Typing speed of 55+
WPM required
- Comfortable using CLIO and Law Pay.
- Responsible, reliable, and can uphold the confidentiality of sensitive information.
- A passion for music and the music industry is desirable.
- Recent college graduates are encouraged to apply.
